Speaker Presentation Guidelines

Welcome to the Speaker’s Presentation Guidelines. This document outlines essential information and tips to ensure your presentation at our event is a resounding success. Your contribution is vital, and these guidelines will help you deliver a memorable and engaging presentation.

Your presentation slides should support the topic you are discussing by providing clear and concise information. Use images and visuals to help illustrate your points and make your slides more engaging. Avoid using too much text or complex graphics, as this can make your slides difficult to understand. Instead, break your presentation down into multiple simple slides, each containing a single concept, representation, or piece of information.

Slides should be prepared in dark mode with a grey background or any other color other than white. Our designer can help with this if needed.

Timing

The duration of the presentation is 12 minutes, followed by 3 minutes for Q&A and 1 minute to swap speakers. Please plan your presentation so that you can finish on time as the MC will be urged to adhere to a fixed schedule.

Technical Requirement

Save the file with a name that includes your last name and session number according to the following format:
< Last Name > _< session number > (Family name.ppt).

To avoid any compatibility problems, please do not use special characters to name your presentation or video files. (e.g., «, Ö, Ø, ñ, ε, ®, ý,}, {, etc.)

Please note that company logos are only allowed on the opening and closing slides; overly promotional materials are not acceptable. For a seamless transition between presenters, the presentation will be uploaded onto the conference room PC before your stream.

We recommend that you also bring your presentation on a data stick or other portable memory device in case of a technical issue. You will not be able to plug your own laptop into the conference projection system. If you require special technology for your presentation, or if you’re having any issue while uploading your presentation please contact ahmed@birbaenergy.com.

If your presentation contains links to video files, it is essential that you upload not only your PowerPoint file but also a separate video file. Most video file types (e.g. .MP4, MPEG, .wmv, .AVI, etc.) are accepted. Apple QuickTime formats such as MOV, QT or DV files are NOT supported in Windows PowerPoint. All videos linked to PowerPoint slides must be tested and checked in advance at the speakers meeting room to ensure that they function properly.

Fonts

Do not use special fonts, which are not part of the standard PowerPoint package, as this will cause problems while uploading your file. We recommend using a sans-serif font (like Arial, Helvetica or Verdana).

Aspect Ratio

Make sure your PowerPoint presentation is in 16:9 ratio (1,920 x 1,080 pixels), Alternatively, PDF files will be accepted. Please note that PowerPoint.mac and Keynote (*.key) presentations are not accepted. Even if you have transferred your presentation to a Windows format, you must check your presentation to ensure that it is fully compatible with the PC computers.

Pictures

Image: People will understand that the images represent what you’re saying, so there is no need to verbally describe the images onscreen.
Graphs and infographics: Keep graphs visually clear, even if the content is complex. Each graph should make only one point.

Pictures of large size can affect the performance of the computer and the proper running of your presentation. We recommend the use of .JPG and .PNG files when inserting pictures.

Try to keep the pictures as small as possible (less than 200kB is recommended). Insert pictures as embedded objects, not as linked files.

File Size

Maximum size of the presentation file should not exceed 150MB.
